Everything about the job, kept with the job.

Six parts of SeamusHQ that work off the same record.

The Keelglass Structures jobs list: six jobs with their stage, client, next step, what's due and who leads each one.

Site diaries, RFIs and drawings

The day's diary, the questions you're waiting on and the drawings everyone builds from, all on the job they belong to.

See which drawing is current.

Drawing numbers, what each was issued for and when sit together in the register, with every replaced revision kept beside the current one.

The Ballyrinn Hub drawing register: KS-101 at rev C, and KS-202 Canopy plan and sections at rev B from 13 October, with rev A from 21 September kept as replaced.

Follow every RFI to an answer.

Each RFI has someone responsible and a date the answer is needed by. It shows when it's overdue, and the answer stays with the question.

Keep the day's diary.

The diary covers the weather, what was done that day, the crew, plant, deliveries, visitors, safety and delays. The crew can be filled in from that day's sign-ins, and once the day is finalised, any later change is recorded with a reason.

The Ballyrinn Hub site diary on a phone: the weather, what was done that day and the people on site, from six sign-ins.

Staff tracking and timesheets

Crews sign in and out on their phones as they arrive and leave. The office can see who's on which site, and timesheets follow from the sign-ins rather than from memory on a Friday.

A correction made in the office is kept with the name of whoever made it, and the week’s time downloads for whoever does your payroll.

Hours by person for 5 to 11 October on a phone, with each person's hours split by site.

Quotes, orders and client proposals

Suppliers price through a link without signing up to anything. You see line prices and delivery side by side, and an approver can check the order before it goes out.

Compare the prices, then order.

Replies land side by side with delivery added, so the best buy is plain. Turn it into an order and an approver can check it before it goes.

Buying options for the Ballyrinn frame package: Lantern Forge & Steel is the best buy at €24,512 with delivery, against €24,740 for the cheapest line by line.

Client proposals, drafted for you.

Proposals are kept in Quotes and proposals and go out under your company’s name. Seamus sets out the draft with the price left for you, and nothing is saved until you press Save.

Seamus, your digital assistant

Seamus is the digital assistant built into SeamusHQ, and he works off the same records as everything above. Ask him who's on site or what's expiring next month, or have him raise an RFI, chase a supplier or draft a client proposal, and he'll show you what he's going to save or send before he does it.

Who came in best on the frame package?

Lantern Forge & Steel is the Best Buy at €24,512 ex VAT with delivery . Splitting the cheapest lines with North Ferry Fixings comes to €24,740 once both deliveries are added.

Approvals and submissions stay with you.

Quality and compliance records

Inspections, certificates and registers sit with the job they belong to, and expiry dates stay in view. There's a quality system for ISO 9001, 14001 and 45001 when you're ready to set one up.

Start an inspection on the job, record what was found and what needs following up, and see which checks are done and which are due. Insurance and certificates show when they’re getting close to expiry, and SeamusHQ reminds you before they run out.

Quality on a phone: two inspections done, the Bay D coating review due today, and the job's quality files with their current revisions.

Tenders and opportunities

New public tender notices are gathered every weekday and scored against your tender profile, so the ones worth pricing are easy to spot and the rest don't eat your Monday morning. Each notice shows why it matched your profile, which is built on the EU’s CPV codes, and you record whether you’re going for it or passing on it.

Take a proper look before you take our word for it.

Ruairí will show you around SeamusHQ, from setting up a job to the week's timesheets, and you can put a question to Seamus yourself. Send an email or give him a ring, whichever suits.
